Occasionally we find ourselves in situations where we are unable to send a file via email due to the size of the document.


Microsoft OneDrive provides us with a simple way to resolve this issue in the form of Sharing a link for your clients to open and access the necessary document(s).


Follow the steps below to Share a File in OneDrive:


Find the file inside your Offices Shared Drive, Right click this file and click on "Share"



This button provides us with the ability to generate a direct link to the file you are wanting to share in the form of a clickable link.

This will bring up a box that looks like below:



There are a number of different options here, although the two we will focus on are the two icons in the bottom left corner.

  • Copy Link
  • Outlook


The first option to share a link to your file is to use "Copy Link"


Copy Link

  • Takes a "Copy" of the link to give you the ability to "Paste" it into an email.


Once you click on "Copy Link" a new box will appear saying Link to "Filename" copied.

This means the link for your file is now copied.


Paste the link into your email and it will appear like below:


The other option for sharing a link to your file is to use the button labelled "Outlook"


Outlook

  • Open Outlook and automatically start a new email with the Link in the body of the email 


Once you click on "Outlook" a new outgoing email will be created automatically with a Tidy version of the link to the file included in the body of the email.



This is a much simpler and tidier option because it hides the jargon of the link behind the name of the File. 

Simple add the recipient, adjust the Subject and add your message to the body of the email.
